Installation of medclaims

Q. I am using an accounting system with Medclaims, but I want to swap to PracSoft. Please advise me of how to convert that over to your program.

There are two main points to follow:

1. For Medclaims with PracSoft it is necessary to lodge another application with the HIC which will have a new Minor ID - this will require a re-install of the DPS. We support using either IBA or Mednetwork as communications carriers - the choice is yours. This will require you to set up either IBA Messenger or Medcoms software too.
2. The second important point - when changing from Medclaims on one system to Medclaims on another system, it is recommended that you stop tramsmitting for 2 weeks just prior to change over. This is to allow all your old system's exception and payment notifications to come through to your old system. Otherwise PracSoft will be receiving these details for claims that it knows nothing about.

IBA as communications carrier

Before you begin transmitting Medclaims please read the following check list.

CHECK LIST You must have the three following disks. DPS Installation Disk DPS Installer Disk Contact PracSoft (07 3634 9300) if you have misplaced these, or download the program which allows you to build these from this website. IBA Messenger Sent to you by IBA. If you have not received this phone IBA on 1300 301 692. You must know your minor ID. (ie, HSS... number) given with your PracSoft kit. If you don't know this, please fax PracSoft on 07 4151 1896. You must have sent your Practitioner Application Form for authority to transmit Medicare direct bill claims electronically. You must have completed this & send it to HCN, GPO Box 9822 in your capital city. If you have misplaced this please contact HIC on 1300 788 008. You must have decided which one computer will have Medclaims installed. You must have correctly installed a modem on this computer. You must have faxed to the HIC the form entitled FAX THIS TO... (provided with your PracSoft kit) at least one working day prior to initial transmission.

There are several steps required before you can commence transmitting Medclaims. Once you have completed all steps in the check list please follow the steps below.

NB: In some states the HIC will send you the DPS Installation disk after they have received your practitioner application form. This disk is identical to the DPS Installation disk included with your set of PracSoft install disks.

Starting Medclaims transmissions

1. Ensure your modem is on and correctly plugged in.
2. Install the DPS as per instructions below.
3. Run the DPS test as per page 15 of the IBA Messenger manual.
4. Install IBA Messenger as per instructions on page 14 of your IBA Messenger manual and follow the instructions through to page 24. Note: The phone number for the IBA Network connection is 1300 550 021 (required on page 18).
5. Start IBA Messenger by double-clicking the IBA Messenger icon. This will detect that a key needs to be sent and will dial to send this key.

Problems running IBA Messenger

• If this fails try dialing once or twice more.
• If still no success phone IBA on 1300 301 692.
• You may now begin to send claim data.

DPS installation

To install the DPS software follow the steps below. Note: only install the DPS on the workstation that has the modem on it.

1. Run install.exe on the Installation Disk - this can be achieved by double-clicking on this file in an Explorer window. (N.B.: It is a DOS installation program.)
2. You must choose Install DPS (rather than Update DPS) and DPS Site (rather than Installers Site) when prompted for these.
3. Choose 386 and above and DOS system.
4. Accept default of 500 records for audit file size.
5. For Installation Customer ID enter the Minor ID code on your disk, for example HSS00123 (use zeros and not the capital O character) and accept other default values by clicking Enter. You will then need to click F10 to start the site key generation. (This will take a minute or so - which is quite good considering it would take about 2½ hours on a 286).
6. Insert the Installer Disk when prompted to do so.
7. Re-insert the Installation Disk when prompted and that will complete the installation.
