Appointment Book

Setting up a second (or third) appointment book – to allow practitioners to have different appointment lengths

    1. Copy the pracsoft.ini file (in the pracsoft folder) and call it appt2.ini
    2. Copy apptbook.mdb (in pracsoft\database folder) and call it appt2.mdb
    3. Open appt2.ini – go to the [apptbook] section and change the DBN name entry to DBName=appt2.mdb
    4. Copy your shortcut for starting PracSoft Appointments and name it Appointments for Trainee, (or something similar).
    5. Right-click on the new shortcut and show properties – change the target to show the following…
      c:\pracsoft\apptbk32.exe c:\appt2.ini
    6. Make sure you include the appt2.mdb in your regular backup.

Can't find patient name in appointment book

    Description

    Very occasionally when you try to add a patient to the Appointment Book, you cannot find the patient in the patient list.

    Solution

    You must have typed the name incorrectly. Type SURNAME then a COMMA then CHRISTIAN NAME without a space.

Sessions - wrong sessions showing for the day

    Description

    You have opened the Appointment Book and it is showing the wrong sessions for the doctors on that day.

    When the Appointment Book is opened, it works out the template to show for the day. The algorithm firstly looks for a special session for a particular doctor for that day. If it doesn't find one the algorithm looks secondly for a regular session for a particular doctor for that day. If it doesn't find one the algorithm finally looks for a regular session for the default doctor for that day.

    Solution

    1. On the Menu click Setup - Availability - Special Sessions.
    2. Take out any special sessions that do not apply for that day.

Upgrading a second or third Appointment Book

    1. Click the Start button.
    2. Select Run and type…

      c:\pracsoft\appt_db_ver.exe c:\pracsoft\database\second apptbook name (e.g. appt2.mdb)



    3. Click OK

    This will upgrade your second Appointment Book to the current version.
